Position Summary

The Executive Assistant to the Senior Pastor plays a critical role in advancing the mission of NewHope Church by providing high-level administrative, organizational, and relational support to the Senior Pastor. This role serves as the primary point of contact on behalf of the Senior Pastor to staff, church members, the Governance Board, and the broader community. The Executive Assistant is entrusted with managing complexity, protecting time, handling sensitive information with discretion, and creating systems that allow the Senior Pastor to lead with clarity, focus, and effectiveness.

This position requires exceptional trustworthiness, emotional intelligence, adaptability, and a heart fully aligned with the mission and values of NewHope Church.

 Senior Pastor Support & Representation

      Serve as the primary point of contact for the Senior Pastor, representing him with staff, church members, Governance Board members, and community leaders.

      Proactively remove complexity from the Senior Pastor’s workload by anticipating needs and managing systems that protect his time and focus.

      Never allow the Senior Pastor to be surprised—communicate relevant information promptly and clearly.

      Never make commitments on behalf of the Senior Pastor without prior approval.

      Maintain strict confidentiality while understanding that certain information may need to be shared with the Senior Pastor.

      Refuse participation in gossip or inappropriate conversations regarding leadership or church matters.


Calendar & Schedule Management

      Manage and maintain a single, comprehensive calendar for the Senior Pastor, including ministry, personal, and family commitments.

      Proactively plan schedules three to six months in advance, driving communication and decision-making well ahead of deadlines.

      Prioritize significant personal and family dates, vacations, and school-related activities.

      Coordinate vacation planning strategically with the church calendar and attendance patterns.

      Ensure all meetings are scheduled, confirmed, and communicated clearly with appropriate reminders (two-week, one-week, and day-before reminders).


Meetings & Communication

      Manage and coordinate all meetings requiring the Senior Pastor’s presence.

      Discern meeting requests that can be delegated to Executive Pastors when appropriate.

      Respond promptly and professionally to meeting requests from church members and community leaders.

      Manage the Senior Pastor’s email account with efficiency and discretion.

      Prepare meeting spaces and materials to ensure every meeting led by the Senior Pastor is organized, welcoming, and effective


Preaching & Ministry Support

      Maintain an updated preaching calendar, including sermon series planning, guest speakers, and preaching rotations.

      Coordinate logistics for sermon preparation meetings, retreats, and overnight planning sessions.

      Assist with planning, communication, and execution of special events led by or involving the Senior Pastor.


Administrative & Operational Duties

      Manage receipts and reimbursable expenses for the Senior Pastor in coordination with the Financial Administrator.

      Schedule travel arrangements for speaking engagements and ministry-related travel.

      Ensure the Senior Pastor’s office is stocked and prepared according to preferences.

      Assist other staff members and ministries as assigned.

      Complete tasks accurately and on time, with a high level of organization and efficiency.


Technology & Systems

      Demonstrate strong technical proficiency with church management systems and digital tools, including:

      Microsoft Office / Google Workspace

      Rock RMS

      Slack

      Ramp

      TriNet

      Airtable

      Adapt quickly to new systems and shifting priorities.
